Board Transition
Do new board members assume their roles at the beginning of the calendar year? StarChapter provides comprehensive services to guide you through your board transition. If this transition does not happen until later in the year, set the board transition date for an automated reminder in the future, so your board will always have StarChapter's most up-to-date resources delivered to their inbox.

Local Dues
If membership runs by calendar year, then it's time to update the member applications and dues rates. Without dues rates for the coming year, new and renewing members won't be able to pay dues. If members renew on their anniversary dates, this isn't needed.
Page Manager
The end of the year is a good time to do a content audit.
Use the Search page to look for any instances of the previous year, or the names of retired board members. The search page always appears at the same location, /search.php . An organization whose web address is http://www.example.com will have their search at http://www.example.com/search.php.
Some common items that need replacement or updating are forms with deadlines, like scholarship, nomination, or contest entry forms; letters from the president; and dated bylaws or policy documents.
Pages that don't change often or pull data from other sources (like the member list or meeting list) are editable through Content > Page Manager > Page Content. If the board has changed, be sure to update the board of directors through Membership > Group Manager > Board of Directors.
Sponsors & Advertisers
A new year may bring with it new sponsors. Existing sponsors must be renewed or removed from the website and sponsor plans and pricing should be updated.

Billing and Tax Information
Organizations have a single Primary Account Contact with StarChapter. This person controls the billing relationship with StarChapter. While updating records, review this information to ensure that this contact is still around. All Full Admins will have access to the Customer Account Area to review this information.
The new year begins tax season. StarChater's W9 information is available in the Customer Account Portal.

Tip: It is important to download a new W9 each year as some information can change over time. Pulling a new copy each year will ensure that your organization is using the most current information. |
StarChapter Pay merchants will receive their 1099 forms, through US-mail from WorldPay, by January 31st each year. The 1099 will be mailed to the entity's business address that was shared on the application. If the organization does not have a business address and instead uses the responsible party’s address as their mailing address, it will be sent there. For example, a 1099 will be available in the beginning of 2023 for the tax year of 2022.

Common New Year Mistakes
The most common problem at the end of a year or at the beginning of a new one is simply entering the wrong year on a meeting, announcement, or other dated content. If a new post is published but isn't displaying, double-check the date.
