    Recording a Refund

    One of the biggest responsibilities of the treasurer is collecting money for your organization. But at times, you may need to issue a refund and send some of that money back out. Here's how to properly record a refund in StarChapter.

    Please note that as of the time of this recording, it is not possible to actually issue the refund through StarChapter. That must be done through your payment gateway or service. This video covers logging that refund.

    • If this is a meeting registration, then we'll go into Meetings > Meeting Manager and click on the Registration button for the event that the cancellation is for.
    • There's a search box here to find the registration.
    • The Cancel button will remove all registrants on this order from the registration list.
    • Then we'll go to Orders and Transactions > Order Manager and find the order that we just canceled the registration for.
    • Click on the order, then click on Add an Adjustment.
    • First, we'll enter a credit adjustment, and make that for the amount of the order.
    • Then, we'll enter a debit adjustment, and enter a comment saying that it was refunded by a certain person on a particular date. Bear in mind, these comments ARE visible to the purchasers when they see their transaction history or future receipt emails. The amount of the debit will be the amount that we refunded. Follow the prompts to finalize the adjustment.
    • Now the only thing left to do is to log into our payment gateway and issue the refund.
