    Linking to Documents

    What if you need to make a budget report, PowerPoint presentation, or other document available to your members? Here’s how.

    For this example, we’re uploading a slide show from one of our past meetings.

    • First, we’ll upload the file. Go to Content > Media Manager > Documents. Click on the Add a File button at the top.
    • Enter a name for the file. Add restrictions if they’re appropriate.
    • You could make the file accessible only to logged-in members, or perhaps certain members of the board, or members of a particular committee. This list pulls from the Group Manager under Membership, and depending on your group settings, you may have different options than I do.
    • If a document is restricted, someone has to be logged into the member area and part of the proper group to be able to access it. I recommend putting your file in a subfolder. You can create new subfolders if you need them.
    • Then, browse for your file and select it. Click on the Add a File button on the right to upload the file. You’ll be taken back to the Documents view. Find the document that you just uploaded and copy the link in gray.
    • Now we’ll want to put this link on a page. I’m envisioning a page containing all of our guest speaker presentations, so I’ll create that in Content > Page Manager > Page Content.
    • I’m entering a new page, giving it a name, and adding it to the Member Area menu. I’m also restricting access to this page. I want it to be members-only.
    • On the Content Step, I’m adding a new Blank section. I’ll give my section a name and some text that should be clickable. Then I’ll select the text and use the chain link button to put this link on the text. And I want that to open in a New Window when it’s clicked. Then I’ll add the section.
    • If I only wanted to link to one document, I would go ahead and publish this page.

    If you have a lot of documents in the same folder to place on a page, there’s a trick to doing that more easily. Instead of adding a Blank section, go to Multimedia and choose the Document Download section instead. Then choose the subfolder. Whenever you add a new document in that subfolder, this page will update itself automatically.

    Whichever way you go, you’ll want to preview the page, and then click the Publish button at the bottom to make it live.

    Another thing you might want to do is link directly to a document in your menus.

    • I’ll go to Navigation Manager, and then find the menu where I want to add the link. I’ll use the button on the right, and then add a new link. Since I’m not linking to a page in StarChapter, this will be an external link.
    • I’ll fill in the URL with what I copied before and give this a clean display name. Set it to open in a new window, and then save the changes. If I need to sort my links, I can do that here.

    Uploading reports and other reference files to StarChapter will ensure that your future board members have a continuous record and a single reliable place to reference their information. You can do this for any similar documents that your board members or your members might need moving forward.
